About Us:
MML Construction LLC is a growing excavation and utility contractor based in Weymouth, MA. We specialize in sewer, water, drainage, and site work for both private and municipal clients across the Greater Boston area. We are a fast-paced, hands-on operation looking for a sharp, organized administrator to help us run the office side of the business so we can focus on what we do best.
The Role:
We are looking for a Construction Office Administrator / Bookkeeper who can keep our financials, paperwork, and project tracking organized and up to date. This is a critical role in a growing company — you will have real responsibility and direct communication with the owner.
Responsibilities:
Maintain and update QuickBooks daily (invoicing, bills, payments, reconciliation) Track accounts receivable and payable Assist with municipal payment applications and certified payroll submissions Organize and track permits, bonds, insurance certificates Manage supplier invoices and match to purchase orders Track job costs per project Handle general office correspondence and filing Support owner with scheduling, follow-ups, and admin tasks Monitor insurance and bond renewal dates Track fleet and equipment records to stay compliant
What We're Looking For:
✅ Experience with QuickBooks (required) ✅ Background in construction administration (strongly preferred) ✅ Familiarity with municipal contracts, certified payroll, or prevailing wage (a big plus) ✅ Strong attention to detail and ability to manage multiple priorities ✅ Self-starter who can work independently ✅ Excellent communication skills — written and verbal ✅ Proficiency in Microsoft Office ✅ Reliable, trustworthy, and discreet with financial information
