Lightwork Therapy and Recovery has expanded our services over the last year and is in need of a dedication Clinical Coordinator in our new Braintree location to manage the day to day of the office, maintain schedules, and provide an excellent client experience at the first point of contact. Position Overview:
The Clinical Coordinator plays a critical role in maintaining the operational flow of Lightwork Therapy and Recovery, ensuring that both administrative and client care responsibilities are handled efficiently. This position requires strong organizational skills, attention to detail, and the ability to support both clients and staff in a fast-paced environment.
Key Responsibilities:
Front Desk & Administrative Support:
Oversee daily front desk operations to ensure smooth client flow and communication. Answer front desk phone calls, providing assistance to clients, families, and referral sources. Manage client appointment scheduling, rescheduling, and virtual meeting coordination, ensuring clients receive timely access information and that availability aligns with clinician schedules. Track and monitor client attendance, following up on missed appointments when necessary. Ensure the office is well-stocked with necessary supplies, including snacks for clients. Prepare and organize welcome bags for new clients to support their onboarding experience. Set up the office each day, ensuring a welcoming and functional environment for clients and staff.
Medication & Client Coordination:
Manage and oversee the medication schedule, ensuring accuracy and compliance with treatment plans. Coordinate with prescribers and pharmacies for medication adjustments, refills, and prior authorizations. Support the Nurse Practitioner and clinical team with administrative tasks related to medication management as needed.
Communication & Outreach:
Assist with creating and distributing the Lightwork Therapy and Recovery newsletter to keep clients and families informed. Conduct alumni follow-up calls to check on former clients' progress and offer continued support resources. Monitor and respond to emails and inquiries from clients, families, and community partners.
Documentation & Compliance:
Scan and upload Explanation of Benefits (EOBs) into the appropriate system for financial tracking. Support staff with maintaining proper clinical documentation and ensuring compliance with agency policies.
