Job Description

We are seeking an experienced Front Desk Office Administrator for a private accounting firm. This is a dynamic, fast-paced role perfect for an energetic professional who thrives under pressure and enjoys a bustling work environment, while also being highly organized & detail-oriented and staying active. This role works directly with clients, vendors, and co-workers. This is not an entry-level position. Prior professional office experience is required.
Key Responsibilities Organization:
Maintain a tidy and efficient physical and digital work environment, manage office workflows, and streamline administrative procedures to keep the office running smoothly.
Front Desk & Client Relations:
Answer phones, greet clients, and communicate professionally in person and by telephone.
Accounts Receivable & Collections:
Monitor outstanding balances, manage client collections, and follow up on unpaid invoices.
Accounts Payable:
Manage vendor invoices, payments, and related records.
Engagement Letters:
Prepare and maintain client engagement letters and related correspondence.
Office Administration:
Maintain filing systems, manage office supplies, and ensure the office operates in an organized and efficient manner.
Technology:
Use Microsoft Word and Excel regularly for administrative and accounting-related tasks.
Office Maintenance:
Perform light office cleaning and help maintain a professional, orderly workplace.
Additional Duties:
Perform other administrative and operational tasks as requested. Required Qualifications Prior experience in a professional office or administrative role. Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Fluency in Microsoft Word and Excel is required. Ability to communicate effectively and professionally with clients. Ability to manage multiple responsibilities and work independently. Reliability, professionalism, and sound judgment. Preferred Qualifications Experience working in a CPA, accounting, or other professional office. Experience with QuickBooks or similar accounting software. Familiarity with accounts receivable, collections, and accounts payable. Experience preparing professional correspondence and engagement letters. Pay:
$18.00 - $25.00 per hour Expected hours: 30.0 - 40.0 per week
