Job Description

SUMMARY The Executive Office Manager is a strategic and highly organized professional responsible for overseeing daily office operations, providing high-level administrative support to the CEO, and leading and coordinating key internal projects. This role serves as a central point of coordination across the organization, ensuring efficiency, professionalism, and alignment with company priorities. Reporting to the Director of Operations, this position will help streamline projects across the organization to ensure seamless transitions and support administrative functions to ensure smoother operations.
KEY RESPONSIBILITIES
Project Management Support planning and execution of cross-functional projects and initiatives Develop project timelines, track milestones, and monitor progress Coordinate communication and deliverables across departments Identify risks, escalate issues, and propose solutions Assist with strategic initiatives led by the CEO or executive team Maintain project documentation and reporting Keep the CEO and the Director of Operations advised of time-sensitive and priority issues, ensuring appropriate follow-up. Office Management & Operations Oversee daily office operations to ensure a productive, organized, and professional work environment Manage office systems, policies, and procedures, continuously identifying opportunities for improvement Support workplace culture initiatives, internal events, and employee engagement activities Ensure compliance with company policies and operational standards Assist the Director of Operations with administrative functions Support the events team with shipping and organizing event materials Executive Support to the CEO Provide proactive, high-level administrative support to the CEO Manage a complex and dynamic calendar, including scheduling meetings, travel, and priorities Prepare correspondence, reports, presentations, and briefing materials Serve as a liaison between the CEO and internal/external stakeholders Track action items and follow-ups to ensure timely execution of CEO priorities Assist with the development of presentations for internal and external audiences Support the CEO and the Director of Operations in Board of Directors activities. Exercise discretion in committing time and evaluating needs Communication & Coordination Facilitate effective communication across leadership and teams Support meetings, including agenda preparation, summary distribution, and follow-up actions Coordinate internal announcements and key organizational updates Help drive alignment on priorities across departments Responsible for other duties and projects as assigned.
SUPERVISORY RESPONSIBILITIES
No supervisory responsibilities.
REQUIRED QUALIFICATIONS AND SKILLS
Bachelor's degree or equivalent experience and/or 7+ years of experience in executive support, office management, or similar roles. Exceptional organizational and time-management skills Strategic thinking and attention to detail Problem-solving and proactive mindset Strong interpersonal and relationship-building skills Strong written and verbal communication skills High level of professionalism and discretion Ability to manage multiple priorities in a fast-paced environment Adaptability and resilience Ability to work independently and with cross-functional teams Handle confidential information with discretion and professionalism Resourceful, organized, detail-oriented, and highly responsive Some travel is required
PREFERRED QUALIFICATIONS
Experience supporting C-level executives Project management experience Experience in non-profit organizations Proficiency with Microsoft Office Suite and project management/collaboration tools Passion for the organization's mission and values; connection to sarcoma.
