Bilingual applicants are encourged to apply. This vital role is the heartbeat of our daily operations, ensuring that everything runs smoothly, efficiently, and professionally. As an Office Administrator, you will be the first point of contact for visitors and clients, manage administrative tasks with precision, and support various office functions to foster a productive work environment. Your proactive approach and excellent organizational skills will help us maintain seamless office operations and deliver outstanding support to our team. Duties Greet visitors, answer multi-line phone systems, and direct calls with professional phone etiquette Manage front desk responsibilities, including check-ins and providing information to visitors, processing insurance authorizations Handle data entry, filing, and document proofreading to ensure accuracy and organization Maintain calendars, schedule appointments, and coordinate meetings using Google Workspace, EHR calandar Support EHR documnetaiton and assist with basic office management duties Assist with customer service by responding promptly to inquiries and providing exceptional support Perform clerical duties such as photocopying, scanning, mailing, and maintaining office supplies Support personal assistant tasks including calendar management and travel arrangements when needed Maintain clinic standard order of procedures for clinic operations and safety Skills Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with QuickBooks for bookkeeping and financial record-keeping Excellent computer literacy, typing speed, and data entry accuracy Strong customer service skills coupled with professional phone etiquette for handling multi-line phone systems Bilingual abilities are a plus to effectively communicate with diverse clients and team members Experience as a dental or medical receptionist or personal assistant is advantageous Ability to multitask efficiently while maintaining attention to detail in proofreading and filing tasks Exceptional time management skills to prioritize responsibilities effectively Join us as an Office Administrator where your energy, organizational prowess, and dedication will make a tangible impact every day!
