Job Description

We are looking for a friendly, organized, and dependable Front Desk Office Administrator to help create a welcoming and professional office experience for employees, visitors, and business partners. This role is ideal for someone who enjoys being the first point of contact, keeping daily office operations running smoothly, and providing hands-on administrative support across the team, including occasional support for the CFO as needed. This position is fully in-office, in Ellicott City, MD, Monday through Friday, 9:00 AM to 5:00 PM.
Responsibilities:
Greet visitors, employees, candidates, and vendors in a warm, professional manner and help direct them to the appropriate person or location. Answer and route incoming calls, take accurate messages, and maintain updated phone lists and office contact information. Manage front desk coverage and help ensure the reception area, conference rooms, and shared office spaces are neat, organized, and visitor-ready. Coordinate office supplies, monitor inventory, anticipate office needs, and place orders as needed to support day-to-day operations. Assist with scheduling, meeting room coordination, mail, deliveries, scanning, copying, filing, document preparation, and other general administrative tasks. Support onboarding logistics for new employees by helping with office access, workspace readiness, basic office procedures, and equipment coordination. Provide occasional administrative support to the CFO as needed, including scheduling assistance, meeting coordination, document preparation, and other day-to-day support tasks. Provide administrative support to team members and leaders as needed, helping create a responsive, organized, and positive office environment. 2-4 years of front desk, receptionist, office administration, or general administrative support experience. Professional, friendly, and service-oriented communication style with the ability to make visitors and employees feel welcome. Strong organizational skills and attention to detail, with the ability to manage multiple tasks and follow through in a timely manner. Comfortable using Microsoft Office tools, including Outlook, Word, Excel, and PowerPoint. Ability to handle phone coverage, scheduling support, office supplies, mail, deliveries, and general office coordination. Reliable, proactive, and flexible, with a willingness to jump in where needed to support the office and broader team. Comfortable working in a fast-paced office environment while maintaining professionalism, confidentiality, and a positive attitude. Ability to work fully in-office five days a week, Monday through Friday, 9:00 AM to 5:00 PM.
