Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, exceptional customer service, and efficient office management. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to juggle multiple responsibilities seamlessly. Duties Oversee front desk operations, including greeting visitors, managing multi-line phone systems, and providing outstanding customer support. Maintain organized filing systems, manage data entry tasks, and ensure accurate recordkeeping using tools like Microsoft Office and Google Workspace. Handle calendar management and scheduling for meetings, appointments, and events with precision. Perform clerical duties such as proofreading documents, managing correspondence, and supporting administrative projects. Manage office supplies inventory, coordinate maintenance requests, and ensure the office environment remains professional and welcoming. Provide bookkeeping support using QuickBooks or similar accounting software to assist with basic financial recordkeeping. Support personal assistant tasks as needed, including travel arrangements and personal scheduling for team members. Qualifications Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Excellent computer literacy and familiarity with data entry, filing systems, and basic bookkeeping. Strong customer service skills with professional phone etiquette and experience handling multi-line phone systems. Bilingual abilities are a plus to effectively communicate with diverse clients and team members. Previous experience in clerical work or as a receptionist in medical or dental settings is advantageous. Exceptional time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail. Experience with office equipment such as photocopiers, fax machines, and printers; knowledge of office safety protocols is preferred.
