Office Administrator - Customer Orders & QuickBooks Baltimore Baked Goods Pikesville, MD 21208 $23-$26 per hour Full-time, 40 hours per week In-person position Position Overview Baltimore Baked Goods is seeking an experienced, dependable and detail-oriented Office Administrator to support our wholesale bakery. This position is responsible for customer order entry, invoicing, accounts-receivable follow-up, production documentation, company records and general office administration. This is an individual-contributor position with no direct reports.
Schedule Monday-Thursday:
8:00 AM-5:00 PM, with a 30-minute lunch break
Friday:
8:00 AM-2:00 PM Consistent 40-hour workweek with a regular early finish on Fridays Responsibilities Receive wholesale customer orders by phone and email and enter them accurately into QuickBooks. Create invoices, record and apply customer payments, and make order adjustments or credits. Review customer accounts and follow up regarding past-due invoices. Respond professionally to customer questions, complaints, shortages and delivery concerns. Assist walk-in customers purchasing products from the office storefront. Generate the daily production guide using customer-order information. Maintain the production spreadsheet, review it for errors and distribute the completed guide to the production team. Maintain organized physical and electronic records for invoices, vendor bills, payments, signed delivery documents, employee paperwork and company vehicle or equipment records. Scan and save documents in the appropriate folders on the company server. Provide new employees with required onboarding paperwork, review documents for completeness and maintain confidential personnel files. Monitor office-supply levels, reorder routine approved supplies and notify ownership when other supplies are needed. Identify missing information, discrepancies or administrative problems and bring them to management's attention. Prepare occasional basic administrative reports as directed. Reporting Structure This position works under the direction of the CFO and Facility Manager and provides administrative support to ownership as needed. The employee must be comfortable receiving assignments from multiple members of leadership and communicating when priorities or deadlines conflict. Required Qualifications Minimum of three years of relevant experience in office administration, customer service, order entry, accounts-receivable support or a similar position. Hands-on experience with QuickBooks Desktop. Intermediate Microsoft Excel skills, including working with existing formulas, organizing worksheet tabs, checking spreadsheets for accuracy and correcting accidental formula changes. Strong data-entry skills and close attention to detail. Professional telephone and email communication skills. Ability to organize physical and electronic records and handle confidential information appropriately. Dependable, punctual and able to manage recurring responsibilities accurately. Ability to learn and follow established company procedures. A college degree is not required. Relevant experience and demonstrated software skills are more important for this position. Spanish-English bilingual ability is strongly preferred because the position regularly communicates with production employees, many of whom primarily speak Spanish. Physical and Work Environment Primarily a desk-based position involving regular computer and telephone use. Periodic walking through the bakery production area and entering refrigerated walk-in areas. Ability to occasionally lift and carry up to 25 pounds. Possible exposure to common bakery allergens, including wheat and eggs.
