Job Description

Job Summary We are seeking energetic and detail-oriented Front Desk Staff to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer support, and ensure smooth office functioning. Your positive attitude and organizational skills will help create a professional and friendly environment for visitors, clients, and team members alike. Duties Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression. Manage multi-line phone systems efficiently, directing calls accurately and courteously. Handle incoming correspondence, emails, and inquiries promptly using strong phone etiquette. Maintain organized files, perform data entry, and update records using Microsoft Office, Google Workspace, and other office software. Assist with office management tasks such as calendar management, appointment scheduling, and basic bookkeeping with QuickBooks. Support administrative functions including proofreading documents, filing paperwork, and managing office supplies. Provide customer support by addressing questions or concerns with professionalism and clarity. Skills Proven experience in front desk operations or office management roles. Excellent communication skills in both English and bilingual capabilities preferred. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools. Familiarity with multi-line phone systems and phone etiquette to handle high-volume calls effectively. Exceptional organizational skills with the ability to prioritize tasks efficiently. Experience with clerical duties such as filing, proofreading, and calendar management. Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial records. Demonstrated ability to provide outstanding customer service and support in a fast-paced environment. Strong time management skills to balance multiple responsibilities seamlessly.
