Job Description

Office Administrator A. Summary 1. The Office Administrator facilitates the efficient operation of the assigned location by performing a variety of customer service, clerical, and administrative tasks. B. Exemption Status 1. Non-exempt C. Job Status 1. Full-time, 40 hours per week 2.
Schedule:
In office, Monday
  • Friday, 8:30 am
  • 5:30 pm D. Job Location 1. KSAW
  • Marquette/Sawyer Regional Airport E.
Pay 1. Base F. Reports To 1. Line Service Supervisor G. Direct Reports 1. None H. Required Education 1. High school diploma or equivalent required 2. Associate degree preferred I. Essential Job Duties 1. Provides front desk customer service to include processing POS transactions 2. Answers and transfers phone calls, screening when necessary. 3. Welcomes and directs visitors and clients. 4. Maintains filing systems as assigned. 5. Assists Line Service Manager to assign tasks involving airplane and hangar maintenance and cleaning. 6. Retrieves information as requested from records, e-mail, minutes, and other related documents; prepares written summaries of data when needed. 7. Responds to and resolves administrative inquiries and questions. 8. Maintains office supplies and coordinates maintenance of office equipment. 9. Maintains a system for recording expenses and the use of petty cash. 10. Periodically compares current and anticipated fuel orders with available inventory; uses judgment to anticipate demand for, and to acquire, additional fuel as needed. 11. Assist service line manager with procurement of other non-fuel orders 12. Participates in periodic meetings with sales, marketing, and other related departments 13. Coordinates with vendors to maintain fuel inventory and billing to include account setup, ordering, and record retention. 14. Review line service records for accuracy to include fuel sheets/transactions and daily tank level reports J. Additional Job Duties 1. May assist in training new hires on the POS system. 2. Performs other related duties as assigned by Line Service Manager. K. Required Skills / Experience 1. Three to five years of experience in a customer service role 2. Experience with billing and other general administrative functions 3. Excellent verbal and written communication skills. 4. Excellent interpersonal and customer service skills. 5. Proficient in Microsoft Office Suite or related software. 6. Excellent organizational skills and attention to detail. 7. Basic understanding of clerical procedures and systems, such as recordkeeping and filing. 8. Ability to work independently. 9. Ability to sit at a desk and work on a computer for prolonged periods of time. 10. Ability to lift up to 15 pounds on occasion with or without accommodation. L. Desired Traits / Characteristics 1.
