Job Description

Job Summary We are seeking a dynamic and organized Office Manager/Bookkeeper to join our team! This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of our office environment while managing essential bookkeeping tasks. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with a passion for creating an efficient workplace. Responsibilities Oversee daily office operations, including managing front desk activities and maintaining a welcoming environment for visitors and staff Handle multi-line phone systems, directing calls professionally and courteously using proper phone etiquette Manage calendar scheduling, appointment setting, and coordinate meetings for staff and clients Perform data entry, filing, and document proofreading to ensure accuracy and organization of all records Utilize QuickBooks for bookkeeping tasks such as invoicing, expense tracking, and financial reporting Provide exceptional customer service by supporting clients, vendors, and team members with inquiries and administrative needs Maintain office supplies inventory, manage vendor relationships, and ensure the office environment is organized and efficient Skills Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace applications Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent computer literacy and clerical experience including data entry, filing, and proofreading Bilingual abilities are highly desirable to serve diverse client needs effectively Experience in office management, administrative support or as a personal assistant is preferred Knowledge of medical or dental receptionist duties is a plus but not required Demonstrated customer service skills with professional phone etiquette and support capabilities Join us to be a key player in creating an organized, welcoming office environment while managing essential bookkeeping functions.
