Job Description

Overview We are seeking a dynamic and organized Office Manager/Bookkeeper to join our team! This vital role combines office management with comprehensive bookkeeping responsibilities, ensuring smooth daily operations and accurate financial record-keeping. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to support our team and maintain an efficient work environment. Duties Manage daily office operations, including front desk duties, greeting visitors, and handling multi-line phone systems with professionalism and courtesy Oversee calendar management, scheduling appointments, meetings, and coordinating events to optimize productivity Maintain accurate financial records using QuickBooks and other accounting software; perform data entry, invoicing, billing, and expense tracking Handle clerical tasks such as filing, proofreading documents, and organizing digital files within Google Workspace and Microsoft Office platforms Provide exceptional customer service by supporting clients, answering inquiries via phone or email, and ensuring positive customer interactions Support medical or dental reception duties as needed, including appointment scheduling and patient check-in processes Assist with administrative tasks like typing correspondence, managing office supplies inventory, and maintaining organized filing systems Skills Proficiency in QuickBooks for bookkeeping and financial management Strong computer literacy with expertise in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Experience with front desk operations, multi-line phone systems, and phone etiquette Bilingual abilities are a plus to effectively serve diverse clients and team members Demonstrated clerical experience including data entry, filing, proofreading, and calendar management Exceptional customer service skills with a friendly demeanor and professional phone support experience Knowledge of office management best practices combined with personal assistant experience for executive support Strong time management skills to prioritize tasks effectively while maintaining accuracy in bookkeeping duties Join us in creating a vibrant workplace where your organizational talents and financial skills make a real difference!
