This isn't a traditional office assistant role—it's an opportunity to become the operational backbone of a growing construction company. About the Role As our Project Operations Coordinator, you'll be responsible for keeping our business running smoothly behind the scenes. You'll work closely with our Project Managers, Sales Team, vendors, and customers to ensure projects move efficiently from the moment a contract is signed through final completion. Your work will directly impact the customer experience, project efficiency, and our ability to continue growing. What You'll DoOffice Operations Process payroll and maintain payroll records Manage Project Management Software and keep project information current Organize and maintain Google Drive project files Answer incoming phone calls and manage company email Maintain office organization and administrative systems Coordinate vendor records, insurance certificates, and licensing documentation Order office supplies and maintain office resources Sales Operations Answer incoming customer inquiries Create and assign leads within Buildertrend Schedule consultations for our Sales Representatives Coordinate calendars and showroom appointments Maintain accurate CRM records Support the Sales Team with administrative tasks Project Setup Convert sold opportunities into active projects Create and organize project folders Verify contracts and deposits Prepare invoices and project documentation Send customer welcome emails Coordinate project handoffs to the Project Manager Pre-Construction Coordination Submit and track permits Coordinate HOA approvals Schedule utility locates Order materials Coordinate deliveries Schedule inspections Coordinate vendors and subcontractors Keep Buildertrend updated throughout the planning process Active Project Coordination Prepare Change Orders Generate invoices and track payments Coordinate deliveries and inspections Update Buildertrend Communicate with customers regarding administrative matters Support Project Managers with day-to-day administrative needs Project Closeout Generate final invoices Send warranty and maintenance information Send review requests Archive completed projects Track company KPIs Maintain accurate project records What We're Looking For We're looking for someone who is: Highly organized Detail-oriented Proactive Calm under pressure Friendly and professional Comfortable juggling multiple projects simultaneously An excellent communicator, both written and verbal A problem solver who enjoys improving processes Preferred Qualifications 2+ years of administrative or office management experience Experience in construction, home services, or a project-based business preferred Experience using Buildertrend, JobTread, or similar project management software is a plus Strong proficiency with Google Workspace and Microsoft Office Experience coordinating schedules, vendors, or projects is preferred Why Join Northern Craft Building?
