Medical Director & CFO Position Summary:
The Office Manager is responsible for the daily administrative operations of the ENT and Sleep Clinic. This position oversees front-office functions, patient scheduling, billing coordination, staff supervision, compliance, and operational efficiency to ensure excellent patient care and financial performance. The Office Manager serves as the primary liaison between providers, staff, patients, and external vendors while maintaining a positive and professional work environment. Essential Duties and Responsibilities Clinic Operations- Manage daily operations of the ENT and Sleep Clinic to ensure efficient patient flow and exceptional customer service.
- Develop and implement office policies, procedures, and workflow improvements.
- Coordinate clinic schedules, provider calendars, and staffing assignments.
- Monitor office productivity and patient satisfaction metrics.
- Ensure proper maintenance of office equipment and facilities. Staff Supervision
- Recruit, train, supervise, and evaluate front-office and administrative staff.
- Conduct employee performance reviews and provide coaching and development.
- Manage employee schedules, attendance, and time-off requests.
- Foster teamwork and maintain a professional and patient-centered culture. Patient Services
- Oversee patient registration, scheduling, referrals, prior authorization, and insurance verification processes.
- Resolve patient concerns and service issues promptly and professionally.
- Ensure compliance with patient privacy regulations, including HIPAA.
- Monitor appointment availability and work to optimize provider schedules. Billing and Revenue Cycle Management
- Supervise and Manage WRS staff insurance verification, charge entry, claim submission, payment posting, and collections processes.
- Monitor accounts receivable (AR), claim denials, and reimbursement trends.
- Work with billing staff and providers to improve documentation and coding accuracy.
- Prepare and review financial and operational reports.
- Assist with payer contracting and credentialing activities as needed. Sleep Lab Coordination
- Oversee scheduling and administrative support for sleep studies and sleep-related services.
- Coordinate insurance authorizations and referrals for sleep testing.
- Monitor sleep lab utilization and scheduling efficiency.
- Ensure proper communication between sleep technologists, providers, and patients. Compliance and Quality Assurance
- Maintain compliance with federal, state, and local healthcare regulations.
- Ensure adherence to OSHA, HIPAA, Medicare, and payer requirements.
- Assist with audits, accreditation activities, and quality improvement initiatives.
- Maintain personnel, licensure, and compliance records. Financial Management
- Assist with budget preparation and expense monitoring.
- Review office expenditures and vendor contracts.
- Manage supply inventory and purchasing.
- Identify opportunities for cost savings and operational improvements. Vendor and Community Relations
- Serve as primary contact for vendors, service providers, and business partners.
- Coordinate technology, equipment, and facility support services.
- Support marketing and community outreach efforts as directed. Qualifications Education
- Associate's degree in Business Administration, Healthcare Administration, or related field required.
- Bachelor's degree preferred. Experience
- Minimum of 3-5 years of medical office management experience.
- Experience in an ENT, Sleep Medicine, or specialty clinic preferred.
- Knowledge of medical billing, coding, insurance reimbursement, and revenue cycle management.
- Experience supervising staff and managing healthcare operations. Skills and Competencies

- Knowledge of electronic medical records (EMR/EHR) systems.
- Proficiency with Microsoft Office and practice management software.
