Job Summary We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This role is vital in ensuring smooth administrative processes, exceptional customer service, and efficient office management. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to handle multiple responsibilities confidently. As Office Manager, you will serve as the backbone of our administrative team, supporting staff and clients alike while maintaining a welcoming and productive workspace. Duties Manage front desk operations, including greeting visitors and handling phone calls and monitoring emails with professionalism and courtesy Oversee calendar management and scheduling for meetings, appointments, and events using tools like Google Workspace and Microsoft Office Maintain accurate data entry records, filing systems, and document proofreading to ensure information integrity Provide exceptional customer support and service via phone, email, or in person, demonstrating excellent phone etiquette and interpersonal skills Coordinate office supplies procurement, bookkeeping tasks using QuickBooks, and general office management duties to optimize operational efficiency. Experience with QuickBooks is necessary to this position. Support clerical tasks such as typing correspondence, proofreading documents, and managing incoming/outgoing mail Assist with personal assistant responsibilities when needed, including travel arrangements and personal scheduling for executives Pick up mail from post office daily, process donations which includes depositing of funds and maintaining timely and professional acknowledgements of funds Daily use of financial and donor software programs. Requirements Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with QuickBooks bookkeeping software is required Excellent computer literacy with the ability to perform data entry, filing, proofreading, and document management efficiently Strong customer service orientation with effective phone etiquette and communication skills Bilingual abilities are a plus to support diverse client interactions Demonstrated ability to manage multiple priorities with effective time management skills Clerical experience including filing, data entry, calendar management, and office support functions Join us as an Office Manager to lead our office and agency team with energy and precision!
