In this pivotal role, you will oversee daily office operations, coordinate administrative tasks, manage vendor relationships, and support team members to ensure an efficient, organized, and welcoming environment. Duties Oversee daily office operations, ensuring all administrative functions run seamlessly and efficiently Manage schedule coordination, including calendar management for leadership and team members Supervise administrative staff, providing training, development, and performance feedback to foster a high-performing team Coordinate vendor relationships, negotiate contracts, and manage supplies procurement to optimize costs and service quality Handle bookkeeping, payroll processing, budgeting, and financial recordkeeping using tools like QuickBooks Organize events, meetings, and training sessions to promote team engagement and professional growth Maintain accurate filing systems, manage front desk responsibilities, including multi-line phone systems and phone etiquette Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with HR policies Qualifications Proven experience in office management or administrative roles with supervisory responsibilities Strong organizational skills with the ability to multitask effectively in a fast-paced environment Experience with event planning and coordinating large or small-scale gatherings Proficiency in QuickBooks or similar bookkeeping software; familiarity with payroll processing preferred Excellent communication skills—both verbal and written—with a professional phone etiquette Knowledge of vendor management practices and contract negotiations Background in medical office management or healthcare-related administrative experience is a plus Demonstrated ability to train staff and support team development initiatives Familiarity with multi-line phone systems, calendar management tools, filing systems, and clerical procedures Join us as an Office Operations Manager to lead our administrative excellence!
