Job Description

Position Summary This position provides day-to-day leadership, operational oversight, and staff development for the Business Office. Working under the direction of the Director of Revenue Cycle, this position is responsible for supervising revenue cycle staff, coordinating daily operations, monitoring productivity and quality standards, supporting revenue cycle initiatives, and ensuring exceptional customer service. The Business Office Supervisor serves as a working leader who promotes accountability, teamwork, operational excellence, and continuous process improvement while supporting organizational goals and maintaining compliance with regulatory and payer requirements. Expected compensation between $24.18 - $29.01/hour. Compensation will be determined based on relevant experience and skills. Direct Reports Business Office Representatives Internal Auditors Administrative Assistant Business Office Supervisor Essential Functions Supervises the daily operations of the Business Office, including staff scheduling, paid time off approvals, timesheets, staffing coverage, productivity, attendance, quality standards, and workflow management. Leads recruitment, onboarding, training, coaching, performance management, employee development, and retention activities. Conducts one-on-one meetings and performance evaluations; establishes performance expectations and development plans; and collaborates with the Director of Revenue Cycle on performance improvement and corrective action initiatives. Serves as a department leader and resource by providing guidance, problem resolution, staff support, and conflict resolution while fostering a positive, collaborative, and customer-focused work environment. Assists patients, providers, payers, and other stakeholders with billing inquiries, account resolution, reimbursement issues, payer follow-up, denial management, collection activities, and customer service concerns. Researches complex issues and communicates recommendations for resolution to the Director of Revenue Cycle in a timely manner. Supports operational audits, coding and billing audits, quality assurance initiatives, payer audits, regulatory reviews, compliance activities, and corrective action plans while ensuring adherence to HIPAA, payer requirements, and organizational policies. Identifies workflow inefficiencies and opportunities for process improvement to enhance operational effectiveness, revenue cycle performance, compliance, and customer service outcomes. Participates in departmental meetings, organizational initiatives, and special projects while modeling professionalism, accountability, teamwork, and exceptional customer service. Functions as a working supervisor, maintaining proficiency in Business Office Representative and Internal Auditor responsibilities and performing operational duties approximately 50% of the time while balancing supervisory responsibilities approximately 50% of the time. Other Essential Functions Must present self at the workstation, ready for work, at the scheduled time. Participates in department and company meetings, as requested. Must be willing and able to work a variety of hours and work in various locations as needed. Education & Licensing High School Diploma, or equivalent, required. Associate's degree in healthcare administration, business administration, or related field required. Equivalent combinations of education, training, and relevant healthcare revenue cycle experience may be considered. Professional billing, coding, auditing, compliance, or healthcare management certification preferred from list below (CPC, CCS, OCS, CPMA or equivalent). Experience Healthcare industry experience required. NextGen experience preferred. Demonstrated leadership abilities and experience guiding, training, mentoring, or coordinating the work of others required. Formal supervisory experience preferred Skills & Knowledge Knowledge of medical billing, accounts receivable follow-up, denial management, collections, and reimbursement processes. Knowledge of CPT, HCPCS, and ICD-10 coding principles. Understanding of commercial, Medicare, Medicaid, and managed care insurance programs. Ability to establish priorities, manage multiple responsibilities, and maintain attention to detail. Strong analytical, problem-solving, and organizational skills. Ability to identify process improvement opportunities and increase operational efficiency. Ability to make sound decisions, exercise good judgment, and maintain accountability in a fast-paced environment. Strong leadership, coaching, and employee development skills. Excellent verbal and written communication skills. Ability to work independently while collaborating effectively with leadership and staff. Strong computer skills including Microsoft Office applications and revenue cycle software systems. Ability to maintain confidentiality and comply with HIPAA requirements.
