401(k) Health insurance Paid time off Competitive salary As Office Manager your primary responsibility will be to ensure all administrative policies, protocol, and systems are executed flawlessly. There must be an open line of communication between this role and the Production Manager, and the General Manager. We ask that you help promote the desired company culture. This role reports to the General Manager.
ROLE RESPONSIBILITIES
Include but not limited to: Daily communication flow with lead technicians, production manager and general manager Ensure all documentation is gathered for all jobs including work authorizations, certificates of satisfaction, work orders, and checklists. Responsible for ensuring smooth flow of information between field, shop, and office Learn and understand all systems and processes that correspond with field and shop production Office leader in the DASH, XactAnalysis and Symbility platforms Proficient in Quickbooks Online Answer company phone and email - reply and distribute messages where needed Responsible for delivering positive first impression of company Customer service Invoicing, accounts receivable, collections, and applying payments Collections follow up Scheduling field technicians in coordination with customers and other contractors
QUALIFICATIONS
Required:
Attention to detail Customer-focused Extremely organized Timeliness Exceptional communication skills on phone, email, and text. Experience in office administration, customer service, data entry, or other similar experience Experience using
QuickBooks Preferred:
3+ years' experience in accounts receivable or accounts payable support Experience in insurance claims, construction, home services, wood working, or other similar industries
