Job Overview We are seeking an energetic and highly organized Front Desk Coordinator / Office Administrator to be the welcoming face and operational backbone of our office. This vital role combines front desk responsibilities with comprehensive administrative support, ensuring a smooth, efficient, and friendly environment for staff, clients, and visitors alike. The ideal candidate will thrive in a fast-paced setting, demonstrate excellent communication skills, and possess a proactive attitude to manage daily office functions with enthusiasm and precision. Responsibilities Greet visitors warmly, direct them appropriately, and manage check-in procedures to create a positive first impression. Operate multi-line phone systems efficiently, answer inquiries promptly, and route calls to the correct departments or personnel. Manage calendar scheduling, appointments, and meetings using Google Workspace or Microsoft Office tools, ensuring optimal time management for staff. Handle clerical tasks such as data entry, filing, proofreading documents, and maintaining accurate records to support office operations. Maintain office supplies inventory, place orders as needed, and ensure the workspace remains organized and professional. Provide exceptional customer service by assisting clients or visitors with inquiries and supporting administrative needs with professionalism and courtesy. Requirements Proven experience in front desk operations or office administration within a professional environment. Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry. Excellent organizational skills with the ability to multitask efficiently in a dynamic setting. Bilingual abilities are highly desirable to serve diverse client needs effectively. Demonstrated phone etiquette and experience managing multi-line phone systems with professionalism. Clerical experience including filing, proofreading, and document management is preferred. Personal assistant or office management experience will be considered an asset. Ability to prioritize tasks effectively while maintaining attention to detail and accuracy. Strong interpersonal skills with a friendly demeanor that fosters positive interactions with staff and visitors alike.
