The Office Manager provides direct support to the Executive Director and oversees the administrative functions and daily operations of the Springfield branch office. This role delivers professional and welcoming customer service, ensuring guests of FosterAdopt Connect are effectively connected with appropriate department staff, while also supporting a variety of administrative tasks.

Duties :
Serve as Administrative Assistant to the Executive Director. Develop and implement front office procedures to streamline operations and enhance efficiency. Deliver excellent customer service by warmly greeting visitors and directing them to appropriate staff in person, by phone, or via electronic communication. Manage front desk and receptionist duties, including answering and routing calls, responding to voicemails and emails, and handling incoming and outgoing mail. Maintain and update office records, prepare documents, and manage agency voicemail messaging systems. Oversee inventory for office, breakroom, and first aid supplies; coordinate ordering and restocking for the Springfield branch. Coordinate general office operations, including calendar management, equipment cleaning and repairs, vendor relations, and facility maintenance. Manage Conference room reservations and availability via Outlook. Track building maintenance needs and vehicle service repairs. Support recruitment efforts by assisting with phone screenings for prospective hires. Assist with preparation of advisory council and HQ reports, as requested by the ED. Coordinate office bulk and routine office mailings. Compose and proofread correspondence, meeting minutes, and other documents. Assist with Sammy's Window donations and clients as required. Attend meetings as required. Ensure compliance with agency policies, contractual requirements, state regulations and COA standards. Qualifications & Preferred Skills At least two (2) years of administrative assistant or office management experience; one (1) year of non-profit experience preferred. Demonstrated resourcefulness in setting priorities and proposing new ways of creating efficiencies. Adaptable and proactive self-starter who effectively multitasks while maintaining strong attention to detail and organization to meet all objectives and deadlines. Proven ability to write clearly, concisely, and effectively for a variety of audiences. Collaborate effectively within diverse, multidisciplinary teams and demonstrate strong interpersonal skills by adjusting communication approaches to effectively engage clients, families, and colleagues. Follow confidentiality guidelines and appropriate handling of sensitive information. Model ethical and professional behavior at all times. Compensation and Benefits Compensation commensurate with experience. Full-time, exempt position.
