The Office Manager is responsible for the physical operation of our Springfield offices — the space, its systems, its vendors, and its supplies — so that the people working there can do so in a well-run, secure, and professional environment. This role owns the building and everything physical inside it. It does not own the functions performed within the offices; those belong to the respective departments. This is an early-stage role with room to grow as the firm grows. What You'll Own Office and Facilities Vendors and services. Manage relationships with janitorial, maintenance, repair, and building-service providers. Maintenance and repairs. Keep the offices in good working order and coordinate repairs promptly. Security systems. Oversee the physical security systems and the day-to-day access protocols for the offices. Supplies and Equipment Procurement and inventory. Order and track office supplies, furnishings, and equipment. Equipment lifecycle. Manage the acquisition, maintenance, and replacement of office equipment. Onboarding Logistics Physical setup. Prepare workspace, access credentials, and equipment for new hires so they are ready on day one, coordinated with HR and IT. Budget and Contracts Budget tracking. Track office operating expenditures against budget. Contract administration. Negotiate and administer service contracts within delegated authority. Reporting. Report spend and flag variances to the Director of Operations. What We're Looking For Four or more years in office or facilities management. Demonstrated experience managing vendors and budgets. High proficiency with office and facilities management software. Sound judgment and discretion in a confidential professional environment. Alignment with the firm's institutional culture and values.
Pay:
$55,000.00 - $60,000.00 per year
