About Us Southern Properties United is a real estate investment firm operating across acquisitions, dispositions, and a 22+ property rental portfolio. We move fast, close deals, and hold our team to a high standard. We're looking for an Office Manager who can keep the books clean, the tenants handled, and the office running without being told what to do next. The Role You'll be the single point of accountability for office operations, bookkeeping, property management administration, and HR coordination across two entities. This is not a sit-and-answer-phones job. You'll own the books, manage a rental portfolio, track commissions, and deliver weekly reporting to the CEO. If something is wrong, you find it before anyone asks.
What You'll Do:
Bookkeeping & Financial Manage QuickBooks for two entities — all transactions coded correctly within 48 hours Reconcile all bank and credit card accounts monthly by the 10th Track Cost of Goods Sold on every property transaction Maintain monthly and quarterly commission spreadsheets for the sales team Produce a monthly P&L summary by the 15th Pay all company bills on time — no late fees from oversight Track cash position weekly and report every Monday Property Management (22+ rental units) Log all rent payments within 24 hours of receipt Issue late notices on Day 6 for any unpaid rent Coordinate eviction filings with attorney — never miss a court date Respond to tenant inquiries within 4 business hours Maintain lease files, track expirations, send renewal notices 90 days out Keep Apartments.com listings matching current lease terms at all times Coordinate maintenance requests from tenant call to vendor completion HR & Office Operations Maintain employee files, process onboarding paperwork, handle payroll changes Ensure payroll is allocated correctly between entities Manage office supplies, equipment, mail, and vendor relationships Develop and maintain written SOPs for recurring tasks What We Expect Zero discrepancies between QuickBooks, the rent spreadsheet, and Apartments.com Reports delivered on time every time — Monday rent report by 10 AM, Friday status by 3 PM, commissions by the 5th, reconciliations by the 10th, P&L by the 15th If you find a problem, report it the same day with a recommendation — don't wait to be asked No spending over $100 without written approval Requirements QuickBooks experience required — you need to know debits from credits, not just data entry Property management or real estate office experience strongly preferred Organized, detail-oriented, and comfortable being held to measurable KPIs Able to manage tenant communications professionally and handle difficult conversations Proficient with spreadsheets, Apartments.com, and standard office software Self-starter — this is a one-person department, not a team with backup Compensation $36,000/year salary 90-day performance review — increase to $38,500 if all KPIs are met Annual reviews tied to performance, not tenure Bi-weekly pay via direct deposit
