Overview We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, managing communication channels, and supporting team productivity. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and technical proficiency to foster a positive and professional workplace atmosphere. As an Office Manager, you will be the backbone of our administrative team, facilitating seamless office management and client interactions. Responsibilities Manage Back office, answering multi-line phone systems, and directing calls with professionalism and courtesy. Oversee office supplies inventory, procurement, and filing systems to ensure all resources are well-maintained and accessible. Coordinate calendar management and scheduling for meetings, appointments, and events using productivity software such as Google Workspace or Microsoft Office. Handle data entry tasks with accuracy, including maintaining spreadsheets, updating client records, and processing invoices using QuickBooks or similar bookkeeping software. Provide exceptional customer service by supporting client communication via phone, email, and in person while maintaining excellent phone etiquette. Assist with clerical duties such as proofreading documents, word processing, filing, and managing correspondence to uphold high standards of professionalism. Support office management initiatives by implementing organizational systems that enhance efficiency and streamline daily operations. Experience Proven experience in office management or administrative roles with a strong background in clerical work and customer support. Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and productivity software. Familiarity with bookkeeping tools such as QuickBooks or similar financial management programs. Experience handling multi-line phone systems, front desk responsibilities, and calendar management. Bilingual abilities are highly valued to facilitate communication with diverse clients and team members. Strong organizational skills paired with excellent time management to prioritize tasks effectively in a fast-paced environment. Previous experience in medical or dental reception is a plus but not required; relevant personal assistant experience is also beneficial.
