This role is responsible for overseeing office administration, bookkeeping, scheduling, and customer communication to ensure projects run efficiently from start to finish. The ideal candidate is proactive, dependable, and comfortable working in a fast-paced construction environment. Key ResponsibilitiesOffice Administration Manage day-to-day office operations and administrative tasks Answer phones, respond to emails, and assist clients, vendors, and subcontractors Maintain organized digital and physical filing systems Prepare contracts, invoices, purchase orders, and project documentation Coordinate office supplies, equipment, and vendor relationships Bookkeeping & Financial Management Handle accounts payable and accounts receivable Process invoices, receipts, and vendor payments Reconcile bank and credit card statements Assist with payroll processing and employee records Track project expenses and budgets Work with accountants/bookkeepers to maintain accurate financial records Utilize accounting software such as QuickBooks or similar platforms Scheduling & Coordination Coordinate project schedules, meetings, inspections, and subcontractor timelines Maintain calendars for project managers and company leadership Schedule client meetings, selections appointments, and job site visits Communicate schedule updates with homeowners, vendors, and subcontractors Assist in tracking project progress and deadlines Qualifications Previous office management or administrative experience preferred Experience in construction, home building, or related industry is a plus Knowledge of bookkeeping and accounting practices Proficiency in Microsoft Office, Google Workspace, and QuickBooks Strong organizational, communication, and multitasking skills Ability to prioritize tasks and meet deadlines Professional and customer-service-oriented attitude Preferred Skills Familiarity with construction scheduling software Understanding of permits, contracts, and construction documentation Ability to work independently and as part of a team Compensation & Benefits Competitive pay based on experience Paid time off and holidays Opportunities for growth within the company Supportive team-oriented work environment
