Office Administrator Quality Back Office - 3.0 Durham, NC Job Details Full-time $22.11 - $26.63 an hour 4 hours ago Qualifications Filing Executive administrative support QuickBooks Data entry Organizational skills Productivity software Full Job Description Overview We are a medium sized CPA firm looking for an organized, personable Office Administrator to be the first point of contact for our clients and the day-to-day right hand to our CPAs. This is a front-desk and administrative role at its core: answering phones, greeting clients, keeping documents and deadlines moving, and making sure the office runs without friction. If you have bookkeeping experience, there's room to take on light bookkeeping work as well, but that is a secondary part of the job rather than the focus. You'll be a good fit if you're the kind of person who notices what's about to fall through the cracks and handles it before anyone asks. Reception and Client Service Answer and route incoming calls, take accurate messages, and respond to general client inquiries Greet clients and visitors, manage the reception area, and keep the office presentable Schedule client appointments and manage calendars for multiple CPAs Monitor the firm's general email inbox and route correspondence to the right person Receive, log, and distribute mail, deliveries, and client document drop-offs Administrative Support to CPAs Assemble, scan, and file client documents and returns; maintain organized digital and physical files Track outstanding client items and follow up on missing documentation Prepare and send engagement letters, organizers, and e-file authorization forms; track signatures and returns Assist with client portal setup and support clients who need help uploading documents Maintain client contact records and firm databases Support deadline tracking for filings and extensions Handle billing support: prepare invoices, log payments, and follow up on receivables Office Operations Order and stock office supplies; coordinate with vendors and building management Maintain office equipment and coordinate service calls Assist with general projects and provide support to staff as needed Bookkeeping (As Assigned) Depending on your background, this role may include light bookkeeping work: Basic data entry in QuickBooks or similar accounting software Recording transactions and assisting with bank reconciliations Supporting AP/AR entry and expense tracking Qualifications 2+ years in an administrative, receptionist, or office coordinator role; professional services or accounting environment preferred Strong phone presence and comfort working directly with clients Excellent organizational skills and attention to detail, especially with documents and deadlines Proficiency with Microsoft Office and general comfort learning new software Ability to juggle competing priorities and stay calm during busy periods Discretion and professionalism handling confidential financial information Preferred, Not Required Experience in a CPA or tax firm Familiarity with QuickBooks or tax software (UltraTax, Lacerte, Drake, or similar) Basic bookkeeping knowledge A Note on Busy Season Tax season runs January through April and is the busiest stretch of our year. We ask for flexibility on hours during this period, and the pace slows considerably afterward.
