This position ensures smooth communication between clinical teams, payers, clients, and external partners by managing administrative workflows, documentation processes, authorizations, and office systems. The ideal candidate is organized, detail-oriented, dependable, and comfortable working in a fast-paced behavioral health environment. Key Responsibilities Prior Authorizations & Insurance Coordination Manage and track prior authorization requests for behavioral health services. Submit authorization requests and supporting clinical documentation to Medicaid Managed Care Organizations (LME/MCOs) and insurance payers. Monitor authorization status, expiration dates, units approved, and renewal requirements. Communicate with clinical staff to obtain required documentation for authorization submissions. Maintain authorization tracking systems to prevent service interruptions. Medical Records & Documentation Management Process and maintain Release of Information (ROI) requests according to HIPAA requirements. Manage incoming and outgoing faxes, clinical documents, referrals, and correspondence. Ensure documents are properly scanned, labeled, and uploaded into the EHR system. Maintain organized electronic and physical filing systems. Assist with record requests from clients, providers, and insurance companies. Administrative Operations Serve as the primary administrative point of contact for office operations. Answer phones, route calls, and assist clients, families, providers, and community partners. Coordinate meetings, appointments, and administrative schedules. Monitor office supplies, equipment, and administrative needs. Support onboarding paperwork and employee administrative processes. Assist leadership with reports, audits, compliance requests, and operational projects. Compliance Support Maintain confidentiality and follow HIPAA regulations. Assist with maintaining documentation standards required by Medicaid, CARF, and regulatory agencies. Support internal audits and quality improvement activities. Ensure administrative workflows align with Beacon Bridge policies and procedures. Communication & Team Support Communicate effectively with clinical staff, peer support teams, billing staff, and leadership. Follow up on missing documentation and administrative requirements. Help identify workflow issues and recommend operational improvements. Qualifications High school diploma required; associate degree preferred. 2+ years of administrative experience preferred. Experience in behavioral health, healthcare, Medicaid, or insurance authorization preferred. Strong organizational and multitasking skills. Proficiency with Microsoft Office, Google Workspace, JotForm, and electronic health records (Checkpoint EHR). Ability to handle confidential information professionally. Strong attention to detail and follow-through. Preferred Experience Medicaid prior authorizations. LME/MCO systems (Alliance, Trillium, Vaya, Partners). Behavioral health documentation requirements. Medical records management. HIPAA compliance.
