Duties Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy. Oversee calendar management and schedule appointments using productivity software such as Google Workspace and Microsoft Office. Perform data entry tasks with accuracy using spreadsheets, word processing, and bookkeeping tools; maintain organized filing systems both digitally and physically. Provide exceptional customer support by addressing inquiries via phone or email, ensuring client communication is clear, friendly, and efficient. Handle office management responsibilities such as supply ordering, equipment maintenance, and coordinating with vendors to ensure smooth office functioning. Support administrative tasks including proofreading documents, managing correspondence, and assisting with calendar management for team members. Maintain confidentiality of sensitive information while demonstrating strong organizational skills and time management to meet deadlines consistently. Requirements Proven experience in office management or administrative roles with a solid background in clerical tasks and customer service. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, spreadsheets, and productivity software. Strong computer literacy with the ability to quickly adapt to new technical tools; familiarity with QuickBooks and Jobber software is a plus. Excellent organizational skills with keen attention to detail; ability to multitask effectively in a busy environment. Exceptional phone etiquette and communication skills—bilingual abilities are highly desirable for diverse client interactions. Previous experience working at a front desk or as a medical or dental receptionist is advantageous. Demonstrated ability to manage calendars, handle data entry accurately, proofread documents thoroughly, and perform general clerical duties efficiently. Personal assistant experience or medical receptionist background is beneficial; familiarity with bookkeeping practices is a plus.
