Job Description
Position Overview Youngsville Academy, a high-performing K-12 public charter school, is seeking a highly organized and professional School Office Administrator to support daily operations and ensure exceptional service to students, families, and staff. This role is central to maintaining accurate student records, coordinating front office functions, and supporting administrative leadership in a fast-paced, college-preparatory environment. Key Responsibilities Student Records & Transcripts Manage all student transcript requests (incoming students & transferring students) Maintain accurate academic records in FACTS/RenWeb Ensure compliance with FERPA regarding records access and confidentiality Process enrollment, withdrawal, and records transfer requests Front Office Operations Serve as the primary point of contact for school office visitors, calls, and email inquiries Maintain a professional, welcoming, and efficient front office environment Coordinate daily attendance tracking and reporting Administrative Support Support the Principal and administrative team with scheduling, communications, and documentation Prepare reports, correspondence, and school documentation as needed Compliance & Reporting Maintain accurate student data in accordance with North Carolina Department of Public Instruction requirements Assist with audits, reporting deadlines, and state compliance documentation School Operations Coordinate substitute coverage logistics and internal communications Assist with event planning Manage office supplies and ordering Confidentiality Ensure strict confidentiality is maintained relating to student records (academic, behavioral, etc) and other aspects of the office/school environment. Qualifications Associate's or Bachelor's degree required 3+ years of prior experience in school office management required Familiarity with student information systems (FACTS/RenWeb preferred) Strong knowledge of office procedures and recordkeeping practices High level of professionalism, discretion, and attention to detail Excellent written and verbal communication skills Ability to manage multiple priorities in a structured, fast-paced environment
