This vital role involves managing front desk activities, coordinating office procedures, and supporting team members with administrative needs. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a welcoming environment for staff, clients, and visitors alike. This paid position offers an exciting opportunity to lead office functions while contributing to a positive and productive workplace culture. Responsibilities Greet visitors, clients, and staff with professionalism and warmth at the front desk, managing multi-line phone systems with courteous phone etiquette. Handle all incoming calls, direct inquiries appropriately, and provide exceptional customer service support. Manage calendar appointments, office email, schedule meetings, and coordinate employees schedules. Maintain accurate filing systems, perform data entry tasks, and ensure all documents are properly proofread for clarity and accuracy. Oversee office supplies inventory, place orders as needed, and coordinate maintenance or repairs to keep the workspace functional. Assist with clerical tasks such as typing correspondence, proofreading documents, and managing email communications efficiently. Ability to preform pre-screening on patients, on the job training will be providing. Skills Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications is preferred. Excellent computer literacy with the ability to quickly adapt to new software tools. Strong multitasking abilities with effective time management skills to prioritize tasks efficiently. Experience with multi-line phone systems, customer service, and phone etiquette standards. Knowledge of clerical procedures such as filing, data entry, proofreading, and calendar management. Background in medical, dental, or vision reception is a plus but not required; relevant experience in customer support or personal assistant roles is valuable.
