Position Summary:
The office administrator is highly organized and proactive in helping manage the daily operations of our office. In this role, the office administrator serves as a key part of our team, coordinating administrative activities, streamlining workflows, and creating an inviting, efficient office space.
Key Responsibilities:
Communication:
Answer and coordinate all incoming phone calls, emails, mailers, and greet visitors professionally.
Scheduling:
Coordinate meetings and maintain facilities calendar. Manage vendors and certain external partner relationships.
Operations:
Manage office supplies and equipment, ensuring everything runs efficiently for the HomeWoven team. Record and distribute minutes for all staff meetings. Communicate with and distribute board packets and information to the board of directors. Assist with data entry Bloomerang donor and volunteer database. Provide support with various administrative tasks for the Executive Director, Development, Accounting, Programming teams including but not limited to grant and donor files/recognition. Assist with file management- home purchases and sales, title company documents, etc. Perform any job-related tasks assigned by the Executive Director or Assistant Executive Director.
Education and Qualifications:
Proven experience in office administration, executive assistance, or related roles. Exceptional organizational skills and the ability to manage multiple priorities effectively. Proficiency in office tools, including Microsoft Office and project management platforms (Monday.com, etc.) Excellent verbal and written communication skills to foster a community focused environment. A proactive mindset with a strong focus on inclusivity and creating a positive, mission-driven team culture. Ability to adapt to changing priorities while maintaining attention to detail. A high school diploma or equivalent is required; an associate or bachelor's degree is preferred. Bilingual abilities (Spanish/English) a plus.
