Job Description

Job Overview We are seeking a dynamic and organized Office Manager to lead the daily operations of our office environment. This vital role ensures smooth administrative workflows, effective team coordination, and efficient management of office resources. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive and welcoming workplace. As an Office Manager, you will oversee administrative functions, supervise team members, manage vendor relationships, and support overall office efficiency for Westfield Plastic Surgery Center. Responsibilities Oversee daily office operations, including front desk management and multi-line phone systems to ensure seamless communication. Coordinate schedule management for team members, meetings, appointments, and events to optimize productivity. Supervise team members and provide training & development opportunities to enhance team performance. Manage vendor relationships for office supplies, equipment maintenance, and service contracts to ensure quality and cost-effectiveness. Handle bookkeeping and basic accounting tasks, to include software, invoicing, expense tracking, and payroll processing. Support human resources functions such as onboarding new employees, maintaining personnel files, and assisting with employee relations. Prepare budgets for office supplies and operational expenses while monitoring expenditures to stay within financial plans. Organize filing systems and maintain accurate records for medical or general office documentation as needed. Assist with event planning for company meetings, training sessions, or special events to foster team engagement. Ensure excellent phone etiquette and professional communication at all times to uphold a positive company image. Requirements Proven experience in office management or administrative roles within a professional setting. Supervising experience with the ability to lead and motivate a team effectively. Strong organizational skills with attention to detail in scheduling, filing, and record-keeping. Proficiency in QuickBooks for bookkeeping and payroll tasks; familiarity with other accounting or HR software is a plus. Experience with vendor management and negotiating service agreements. Knowledge of human resources practices including onboarding, employee relations, and compliance standards. Excellent communication skills—both verbal and written—and strong phone etiquette. Ability to manage multiple priorities efficiently in a fast-paced environment. Experience in medical office management or healthcare settings is advantageous but not required.
