OFFICE MANAGER
Part-time:
20 Hours per week.
Hourly rate:
$17-19 per hour
POSITION SUMMARY
: The Office Manager position is important to the life of Hanscom Park UMC. This position is front facing. The Office Manager greets, welcomes, and interacts with a diverse range of people from church members to facility renters and anyone who comes to the front door or calls. This position is also behind the scenes, keeping many of the administrative functions running smoothly and efficiently.
WORKING CONDITIONS
The is a year-round position. Several paid federal and religious holidays are included. Paid time for vacation, sick leave, flex leave, and bereavement leave is also included.
NUMBER OF HOURS
The Office Manager is a part-time position, 20 hours per week. Ideal hours are 9am-2:30pm
JOB RESPONSIBILITIES
Church Communication 1. Be present at the church office during regular office hours. 2. Work with the Senior Pastor to arrange office coverage when absent. 3. Welcome and greet visitors and members in person. 4. Answer church phone and take messages. 5. Send reminders for administrative meetings and ministry activities. 6. Communicate with key volunteers regarding meetings and volunteer roles (i.e. communion servers, scripture readers, prayer volunteers, ushers, greeters, etc.) 7. Prepare and publish church documents for various weekly and seasonal activities. Church Scheduling & Event Coordination 1. Coordinate church calendar. 2. Coordinate scheduling and booking of meetings, weddings and other events. Financial Processes Support 1. Prepare, print, and mail all Quarterly and End-of-Year Giving Statements. 2. Enter all online giving information and manage monthly totals. 3. Enter weekly giving statistics. 4. Pay all church bills. Record Maintenance 1. Update church membership database (births, deaths, marriages, baptisms, etc.). 2. Maintain attendance and visitor lists. 3. Report attendance statistics to conference and pastoral staff. General Administrative Support 1. Complete and print annual conference church reports (including charge conference and AC Stats). 2. Order office supplies, seasonal flowers, and other event supplies. 3. Maintain church files 4. Other duties as assigned.
REQUIREMENTS

  • Ability to do detail work accurately.
  • Very good communication skills and the ability to build relationships.
  • Ability to listen, maintain professional boundaries, and confidentiality. (There is a lot of confidential information of which the Office Manager will be aware, such as financial records, counseling situations, and other private matters. It is absolutely essential that all items of a personal nature of which they become aware must remain confidential.)
  • Proficient with computers and technology (word processing, data management systems) or a willingness to learn.
  • Ability to empathetically engage with persons seeking support for basic needs (food, rent) and maintain appropriate boundaries. Experience, Education and Training Required
  • Experience in a professional office setting
  • Experience with customer service and/or volunteer management
  • Basic computer skills, including Office 365 products, email, social media, etc.
  • High school degree or equivalent Preferred
  • Experience with volunteer management
Bachelor's Degree Scope and Range of Decisions:
The employee can make independent decisions in their area of ministry that align with the vision, mission, values, and initiatives of Hanscom Park UMC. This includes developing, implementing, processing, recruiting, and leading volunteers. Functions with broad objectives provided by the pastor.
