Responsibilities Manage front desk operations, greeting visitors with professionalism and warmth while maintaining a positive first impression. Handle multi-line phone systems with confidence, directing calls accurately and courteously while practicing excellent phone etiquette. Perform data entry and maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents. Coordinate calendar management and scheduling for meetings, appointments, and events using tools like Google Workspace and Microsoft Office. Oversee office management tasks such as ordering supplies, managing office equipment, and ensuring the workspace remains tidy and functional. Provide exceptional customer service by supporting clients, vendors, and staff with their inquiries and needs promptly. Assist with bookkeeping tasks using QuickBooks or similar software to support basic financial recordkeeping. Proofread correspondence, reports, and documents to ensure accuracy and professionalism before distribution. Support administrative projects including data entry, filing, proofreading, and general clerical duties to keep operations running seamlessly. Maintain excellent organizational skills to prioritize tasks effectively in a fast-paced environment. Experience Previous office experience or clerical experience is essential; familiarity with office management practices is highly valued. Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic data entry applications. Experience handling multi-line phone systems and demonstrating strong phone etiquette is required. Bilingual abilities are a plus to assist diverse clients and team members effectively. Knowledge of QuickBooks or bookkeeping software is advantageous for supporting financial tasks. Demonstrated organizational skills with the ability to manage calendars, prioritize tasks, and handle multiple responsibilities efficiently. Personal assistant or medical/dental receptionist experience can be beneficial but is not mandatory; a proactive attitude is key!
