We provide financial planning, investment, tax, insurance, and estate planning services to our clients. OujoWealthStrategies.com About the Role We are seeking a highly organized, proactive, and personable Office Administrator to help create a welcoming, efficient, and professional experience for both our clients and team members. This role is central to the day-to-day operations of our office. As the first point of contact for visitors and a key support to our internal team, you will help ensure our office runs seamlessly — creating an environment where meaningful work, clear communication, and strong relationships can thrive. We are looking for someone who takes ownership, anticipates needs before they arise, and values both professionalism and collaboration. The right person will be detail-oriented, resourceful, and committed to creating a positive experience for everyone who walks through our doors. What You'll Do Office Management & Operations Help maintain a professional, organized, and welcoming office environment Manage office inventory, including supplies, refreshments, and equipment, ensuring the office is consistently stocked and operating smoothly Maintain shared spaces, including kitchens, conference rooms, and common areas, to ensure they are functional and guest-ready Identify opportunities to improve office systems, organization, and day-to-day efficiency Reception & Guest Experience Serve as the first point of contact for clients, visitors, and deliveries, creating a warm and professional first impression Welcome and assist guests, ensuring a seamless experience that reflects our commitment to care, responsiveness, and clear communication Manage incoming and outgoing mail and packages, including routing and organization as needed Coordinate conference room scheduling and setup to support internal and client meetings Assist with meeting logistics, including room preparation, technology setup, and refreshments when needed Administrative Support Provide day-to-day administrative support to the team as needed Assist with scheduling, meeting coordination, and operational logistics Support special projects and additional administrative responsibilities as they arise Handle sensitive and confidential information with professionalism and discretion Who You Are A proactive and dependable professional who takes pride in keeping things organized and running smoothly An excellent communicator who is professional, welcoming, and comfortable interacting with clients and colleagues at all levels Highly detail-oriented with strong organizational and time-management skills Resourceful, adaptable, and able to prioritize effectively in a dynamic environment Someone who values teamwork and enjoys contributing to a collaborative, people-first culture Discreet and thoughtful when handling confidential information Qualifications & Experience Strong organizational skills with exceptional attention to detail Excellent written and verbal communication skills Proficiency with standard office technology and the ability to learn new systems quickly A proactive mindset with a willingness to step in and help where needed Compensation/Benefits Salary starts at $45k with bonus opportunities Full Time Health Insurance 401(k)
