We are seeking a poised, optimistic, and highly organized Office Manager to oversee our daily functions while managing personnel, vendors and facilities. The ideal candidate possesses excellent time management skills and a proactive approach to excellence.
Key Responsibilities Culture & Regulatory Adherence:
Implement initiatives to foster a collaborative, positive workplace environment and firm culture. Monitor and enforce the company handbook, internal codes of conduct, and policies. Maintain strict adherence to all federal and New Jersey state labor laws.
Talent Acquisition:
Manage job position postings online, review resumes, schedule and attend initial candidate interviews to assess cultural and professional fit.
Onboarding Logistics:
Obtain all state and federal new hire forms, establish employment files, and meticulously maintain accurate staff records. Coordinate and set up new hire desks, ensuring all physical equipment and software access credentials are ready prior to day one. Introduce new employees to the firm and facilitate training on office procedures, protocols, and standard systems.
Performance & Conflict Management:
Oversee the firm's regular performance review cycles, manage performance improvement plans and disciplinary write-ups when necessary, and conduct professional exit interviews. Serve as the primary point of contact for handling internal conflicts and workplace grievances with discretion.
Payroll & Benefits:
Track employee PTO and process bi-weekly payroll accurately and punctually. Oversee employee health insurance management and IRA retirement plan enrollments.
Facilities & Physical Infrastructure:
Supervise the physical office footprint, including managing lease renewals, satellite office reservations, vendor contracts and renewals. Oversee building security systems, access protocols, and hardware. Procure and manage inventory levels for office supplies and firm equipment.
Trust Billing & Invoicing:
Review the firm's internal trust billing systems monthly to cross-verify all active billable files. Compose and mail out monthly replenishment requests with client invoices as applicable.
Qualifications & Skills Attributes:
A poised demeanor with a positive attitude and exceptional organizational capabilities.
Time Management:
Proven capability to multitask, prioritize deadlines, and pivot workflows seamlessly.
Communication & Discretion:
Excellent verbal and written communication skills for managing vendor relations and sensitive human resource matters. Absolute commitment to maintaining strict confidentiality regarding payroll, employee relations, and high-level information.
Preferred Experience :
At least 3 years of office management experience, preferably within a legal setting or professional services environment. Position Details Full-time in office Monday through Friday 8:30 am to 5:00 pm Salary $85,000.00 Benefits Paid training, time off, and holidays.
