About Us We are a growing, family-owned physical therapy practice with two clinic locations dedicated to providing exceptional patient care and outstanding customer service. We are looking for an organized, energetic, and detail-oriented Office Manager to oversee daily operations, support our clinical team, and help grow our presence in the community. Position Summary The Office Manager will be responsible for managing front desk operations, coordinating administrative functions across two clinics, overseeing patient scheduling and communication, assisting with social media marketing, and ensuring a positive experience for every patient. This role requires strong leadership, multitasking abilities, and excellent interpersonal skills. Key Responsibilities Clinic Operations Manage day-to-day operations of two physical therapy clinics Ensure smooth workflow between front desk, clinical staff, and management Develop and maintain office procedures to maximize efficiency Assist with staffing needs and coordinate schedules across locations Patient Experience Greet and assist patients in a professional and friendly manner Handle patient inquiries, concerns, and scheduling requests Foster a welcoming and positive clinic environment Maintain high standards of customer service and patient satisfaction Scheduling & Staff Coordination Manage therapist and aide schedules Coordinate coverage for staff absences and schedule adjustments Monitor appointment schedules and optimize clinic productivity Insurance & Billing Verify patient insurance benefits and eligibility Obtain authorizations and referrals as needed Assist with billing processes and claim follow-up Ensure accurate documentation and patient account management Front Desk Administration Answer phones, manage emails, and handle patient correspondence Maintain patient records and ensure compliance with clinic policies Process new patient registrations and intake paperwork Manage office supplies and administrative needs Marketing & Social Media Create and manage social media content across platforms Promote clinic services, patient success stories, and community involvement Assist with marketing campaigns and local outreach initiatives Track engagement and help grow the clinic's online presence Qualifications Previous experience in healthcare administration, medical office management, or a similar role preferred Experience with physical therapy, medical billing, or insurance verification is a plus Strong organizational and multitasking skills Excellent communication and customer service abilities Experience managing social media accounts and creating content Proficiency with Microsoft Office, Google Workspace, and scheduling software Ability to work independently and lead a team in a fast-paced environment Desired Skills Leadership and problem-solving abilities Attention to detail and strong follow-through Ability to manage multiple priorities across two locations Positive attitude and professional demeanor Strong relationship-building skills with patients and staff Knowledge of EMR systems and medical billing software preferred Benefits Competitive salary Paid time off Opportunities for professional growth and advancement Supportive, team-oriented work environment Opportunity to make a meaningful impact on patients' lives
