Job Description

Overview We are a small mental health clinic of 6 psychologists. We have been in business since 2007. We are looking for a detail-oriented and highly organized Assistant Office Manager. Client interactions are essential to the job, so the candidate needs to be warm, friendly and professional. We prefer someone with 2 years experience working in an office with customer service responsibilities and strong Excel. We will train on the rest of the duties and responsibilities! Please note this is a temp to hire opportunity. Duties Proficiency in Excel and Word Create and maintain clinical files- scanning old files Experience with medical billing a strong plus Oversee all administrative tasks including filing and maintaining office supplies Using online portal for billing, calling insurance companies regarding coverage and billing problems Returning patient phone calls and getting intake information Reviewing therapist's calendars and appointments. Running credit cards for copays and deductibles. Maintaining QuickBooks records for tax reports at the end of the year. Entering the necessary data into our payroll sheet biweekly and participate in calling in Payroll, sick/vacation time, and IRA information Stay on top of daily emails and disperse information to clinicians Oversee projects with part-time office manager- such as maintaining file room and external file storage. Paying bills in a timely manner Attend administrative and marketing meetings.
