For more information, please visit www.vitextechcom. Position Description As the Office Admin, you will play a pivotal role in a 10+ people office environment. You will handle bookkeeping, general administrative, and HR recordkeeping duties. You will provide support as needed to management and department teams within the company. Responsibilities •Office Management:
Oversee daily operations, including mail distribution, office supply management, and coordination with building maintenance and external vendors. •Executive Support:
Provide high-level assistance to management through calendar management, travel arrangements, and the preparation of professional reports and presentations. •Workflow Optimization:
Support the integration of AI-driven digital tools and internal systems to modernize and streamline business processes. •Financial Administration:
Perform basic bookkeeping tasks, including financial data entry, expense reporting, invoice processing, and departmental budget tracking. •Project Coordination:
Monitor progress on quarterly objectives and ensure all administrative project deadlines are met. •Records Management:
Maintain comprehensive physical and digital filing systems to ensure data integrity and seamless information retrieval. Qualifications •Experience:
0-3 years in an office administrative or executive assistant role, ideally within a fast-paced or technical environment. •Technical Proficiency:
Advanced command of Microsoft 365. Familiarity with AI tools (such as Claude Cowork) is highly desirable; basic knowledge of QuickBooks is a plus. •Discretion & Integrity:
Proven ability to handle sensitive information regarding company strategy, personnel, and finances with total confidentiality. •Communication:
Exceptional verbal and written skills, with the ability to draft professional correspondence and engage effectively with key team members. •Adaptability:
