Morganville, NJ Position Summary We are seeking a highly organized and detail-oriented Biller / Office Manager to support the daily operations of our CPA firm. This position combines billing, accounts receivable, administrative management, and office coordination responsibilities. The ideal candidate will ensure accurate client invoicing, maintain efficient office operations, support firm leadership, and provide exceptional service to clients and staff. Key Responsibilities Billing & Accounts Receivable Prepare, review, and distribute client invoices accurately and timely. Process time and expense entries for billing purposes. Monitor accounts receivable and follow up on outstanding balances. Apply client payments and maintain accurate billing records. Generate billing reports and assist partners with WIP (Work-in-Progress) management. Resolve client billing inquiries professionally and promptly. Maintain billing schedules and ensure deadlines are met. Office Management & Administration Oversee daily office operations to ensure efficiency and professionalism. Manage office supplies, equipment, vendors, and service providers. Coordinate incoming and outgoing mail, deliveries, and client communications. Maintain firm records, files, and administrative documentation. Assist with onboarding new employees and maintaining personnel files. Coordinate office meetings, events, and staff schedules. Support partners and managers with administrative projects as needed. Client Service & Firm Support Serve as a primary point of contact for client inquiries and administrative requests. Assist with engagement letters, client correspondence, and document management. Schedule appointments and coordinate meetings for partners and staff. Support tax season operations and special projects. Maintain confidentiality of all client and firm information. Qualifications Associate's degree preferred; equivalent experience considered. 3+ years of billing, office management, administrative, or accounting support experience. Previous experience in a CPA firm, accounting firm, legal office, or professional services environment strongly preferred. Knowledge of billing practices, accounts receivable, and general bookkeeping principles. Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook. Experience with accounting or practice management software preferred (QuickBooks, CCH, Thomson Reuters, Canopy, Karbon, or similar platforms). Strong organizational, multitasking, and time management skills. Excellent verbal and written communication abilities. Ability to work independently and maintain a high level of accuracy and confidentiality. Requirements Ability to work on-site Monday through Friday, 9 AM - 5:00 PM Must be authorized to work in the United States. Must have a clear background and drug screening.
