Job Description

Description We are looking for a highly organized and proactive Office Manager to join our team in Madison, New Jersey. As part of a dynamic environment, this role offers the opportunity to oversee daily office operations, coordinate events, and support various departments. This is a contract position with the potential for a long-term opportunity, ideal for someone who thrives in multitasking and enjoys collaborating across teams.
Responsibilities:
  • Welcome and assist vendors, clients, and visitors, ensuring they are guided appropriately within the office.
  • Manage incoming and outgoing mail, including reducing junk mail and coordinating timely deliveries.
  • Oversee scheduling and preparation of conference rooms, ensuring readiness between meetings.
  • Maintain office supply inventory, placing orders and distributing across multiple locations as needed.
  • Support end-of-day office maintenance and closing procedures.
  • Coordinate staff meetings, lunch-and-learn sessions, and seasonal company events.
  • Assist HR with onboarding processes, office orientations, and employee milestone announcements.
  • Provide administrative support to the Finance team, including filing, invoice processing, and report generation.
  • Execute ad hoc errands, internal correspondence, and other administrative tasks as requested.
  • Monitor and update employee attendance boards and other office tracking systems. Requirements
  • Strong written and verbal communication skills to collaborate effectively across departments.
  • Demonstrated ability to learn new systems and improve processes for greater efficiency.
  • Excellent organizational skills with a keen eye for detail.
  • Ability to manage multiple priorities, meet deadlines, and solve problems effectively.
  • Proficient in Microsoft Office Suite, including Office 365, Word, and Teams.
  • Resourceful mindset with the ability to maintain accurate records and files.
  • High school diploma required; a college degree is a plus.
  • Minimum of 2 years of administrative experience preferred.
