Monday-Friday, 8:30 AM-4:30 PM About the Role Garden Homes is looking for an organized, detail-oriented Office Administrator to support our internal IT department. In this role, you will handle the department's invoicing and billing, keep technical and vendor documentation up to date, assist with service-request coordination, maintain inventory records, and manage the day-to-day administrative work that keeps the team running smoothly so they can focus on supporting the rest of the organization. This is an administrative support position within the IT department and does not require you to be an IT technician. We are looking for someone who is organized, accurate, communicative, comfortable working in a fast-paced environment, and able to manage multiple priorities. Responsibilities Assist with incoming calls, emails, service requests, and overflow helpdesk tickets and route them to the appropriate IT team member Track and follow up on open service requests as needed Maintain inventory records for equipment, supplies, and other IT-related items Assist with ordering and restocking equipment and supplies Maintain organized technical, vendor, and departmental documentation Keep recurring service accounts, subscriptions, and vendor information current Assist with vendor coordination and service agreements Process and track vendor invoices and interoffice billing Maintain spreadsheets, records, files, and reports Help ensure documentation and administrative records are accurate and up to date Provide general administrative support to the IT department Assist with other departmental projects and responsibilities as needed Qualifications Previous office administration, billing, bookkeeping, or similar administrative experience Experience working with invoices, accounts payable/accounts receivable, or billing-related documentation Strong organizational skills and attention to detail Strong written and verbal communication skills Proficiency with Microsoft Word, Excel, and Outlook Ability to maintain accurate records and documentation Ability to manage multiple priorities and follow through on assignments Dependable, proactive, and able to work both independently and as part of a team Comfortable learning new software and internal systems Authorized to work in the United States Preferred Qualifications Experience using QuickBooks or another accounting system Experience using helpdesk, ticketing, inventory, or service-management software Associate's or bachelor's degree in Accounting, Finance, Business Administration, or a related field; equivalent professional experience will also be considered Benefits Medical, dental, and vision insurance 401(k) Paid sick time/PTO Vacation time
