An Office Manager directs administrative staff and manages workflow in a business office. Supervises clerical work, tracks office supplies, oversees maintenance for office equipment and manages budget for office expenses. May hire and train staff.
Full-time preferred (open to hourly / part-time to start) Reports to: Management (US & HQ coordination) Role Summary The Office & Operations Manager will support the day-to-day administrative, HR, and operational needs of the U.S. entity. This role acts as the local backbone of the organization, coordinating with accountants, lawyers, payroll providers, and management to ensure smooth operations and compliance. This is a hands-on, operational role, not a purely clerical position. Key Responsibilities Administration & Operations Manage office administration (vendors, supplies, utilities, leases) Coordinate invoices and prepare documentation for accounting Maintain organized records (contracts, policies, filings) Support management with operational follow-ups HR & People Operations Coordinate employee onboarding/offboarding (W-4, I-9, benefits setup) Collect and transmit payroll inputs to external payroll provider Track time off, absences, and basic HR records Act as point of contact for employees on admin/HR topics Payroll & Compliance (Coordination only) Liaise with external accountants and payroll providers Ensure timely submission of payroll data Track compliance deadlines (NJ state, federal requirements) Coordinate insurance and benefits administration External Liaison Interface with: Accountants / CPAs Immigration lawyers Insurance providers Benefits providers Escalate issues to management when needed Required Profile Experience Office Manager Operations Coordinator HR / People Ops Administrator Experience in a small or mid-size company environment Prior exposure to payroll and HR processes in the U.S. Skills Strong organizational and follow-up skills Comfortable working with external service providers Familiar with payroll systems (ADP, Gusto, Paychex, etc.) Basic understanding of accounting workflows (QuickBooks a plus) Excellent written and verbal English Reliable, detail-oriented, discreet Nice to Have Experience in industrial, engineering, or technical environments Experience supporting international management teams Compensation (Vineland / South NJ market) Flexible ramp-up possible (part-time → full-time possible) Preferably full time Why This Role Matters This role ensures: Clean payroll and HR operations No compliance surprises Reduced management distraction Smooth coordination between U.S. operations and external advisors
