Job Description

We are looking for a positive, organized, self-motivated Legal Assistant to help keep our civil litigation law office, cases, and client communications running smoothly. At a Glance Your primary responsibilities will be: Answering client calls and emails and providing excellent client service Conducting basic client intake and gathering facts and documents Keeping case information and status tracking current in Clio Managing calendars, appointments, hearings, and deadlines Filing pleadings and other documents with courts Coordinating service of process and tracking completion Preparing hearing and trial notebooks/materials for attorneys Handling mailing, document organization, and general office administration
Hours:
Approximately 20-25 hours per week We need someone who is: Dependable, detail-oriented, comfortable with technology, friendly with clients, and able to see what needs to be done and get it done. Clients & Case Management Answer incoming calls and emails professionally and promptly. Conduct basic intake to gather client information, facts, and documents. Communicate with clients about scheduling, documents, and routine case updates. Maintain accurate case information, notes, tasks, and status tracking in Clio . Follow up with clients when information or documents are needed. Calendaring & Deadlines Maintain attorney and firm calendars. Schedule appointments, hearings, depositions, meetings, and other case events. Calendar and help monitor court and case deadlines. Confirm appointments and communicate scheduling information. Court Filings & Litigation Support File pleadings, motions, notices, and other documents with state and federal courts, including electronic filing. Confirm filings are accepted and properly save file-stamped copies. Coordinate service of process and communicate with process servers. Track service and maintain proofs of service. Prepare and organize hearing and trial notebooks for attorneys. Organize pleadings, exhibits, witness materials, orders, and other documents needed for court. Assist with preparing, labeling, and organizing exhibits. Office Administration Maintain organized electronic and physical case files. Scan, upload, download, name, and save documents accurately. Handle mail, certified mail, copying, and document preparation. Prepare routine correspondence and forms. Assist with other administrative tasks needed to keep the office running efficiently. What We're Looking For Prior legal office or litigation experience is preferred, particularly experience with court filing, calendaring, and case management .
You should also have:
Excellent organization and attention to detail Strong telephone, email, and client-service skills Comfort using technology and learning new software Experience with Clio or similar case management/CRM software preferred Ability to manage multiple tasks and deadlines Good judgment when handling confidential information Strong follow-through and reliability Most Importantly We want someone with a positive attitude who takes initiative . You should be the kind of person who notices that something needs to be done, takes ownership of it, and follows it through to completion. You should enjoy helping clients, keeping things organized, learning new systems, and being part of a small team where everyone contributes. Schedule & Compensation Part-time, approximately 20-25 hours per week. Specific schedule will be discussed based on firm needs and candidate availability. Compensation is based on experience and qualifications.
