Billing & Payroll Coordinator Winner:

Join the Best in Santa Fe Position Summary EGIS Complete Care is seeking a highly organized, detail-oriented Office Manager / Billing & Payroll Coordinator to oversee the daily administrative operations of our growing home care company. This position is responsible for payroll processing, client billing, accounts receivable support, caregiver onboarding administration, banking transactions, recordkeeping, and office operations. The ideal candidate is trustworthy, professional, technologically proficient, and enjoys working in a fast-paced environment where accuracy and customer service are critical. This individual works directly with the CEO and serves as a key member of the administrative team supporting caregivers, care managers, clients, and referral partners. Primary Responsibilities Payroll Administration QB online experience required Process payroll twice monthly Review timesheets and payroll reports for accuracy Research and resolve payroll discrepancies Maintain payroll records and documentation Billing & Accounts Receivable 3+ years of experience with QB online Prepare and submit monthly client invoices Submit long-term care insurance invoices and supporting documentation Process ACH, credit card, and check payments Reconcile client accounts and receivables Assist with collections and payment follow-up Prepare billing reports for management Banking & Financial Administration Prepare bank deposits Record payments and deposits in QuickBooks Process vendor payments and office expenses Coordinate with external bookkeeping and accounting partners Assist with month-end administrative reporting Human Resources Support Process caregiver onboarding paperwork Coordinate background checks Complete employment verifications Prepare payroll and employment documentation Maintain personnel records Office Administration Maintain referral records and enter data into WellSky Order office supplies Support client membership renewals Assist with operational projects and process improvements Provide administrative support to the CEO Qualifications Required 5+ years of administrative, payroll, bookkeeping, or office management experience Strong proficiency with experience with QuickBooks Experience with Microsoft Excel Excellent time management skills Strong attention to detail Ability to maintain confidentiality Excellent written and verbal communication skills Ability to manage multiple priorities simultaneously Preferred Experience in healthcare, home care, hospice, or senior services Experience with WellSky or similar healthcare software Human Resources experience Experience with long-term care insurance billing Familiarity with AI tools such as ChatGPT, or similar business applications What We're Looking For The successful candidate will be: Honest and trustworthy Detail-oriented and thorough Kind and professional with clients and caregivers Comfortable learning new technology Able to work independently Process improvement minded Grounded, mature, and dependable Someone who sees problems and takes initiative to solve them Compensation DOE Full-Time |

Pay:
$20.00 - $30.00 per hour
