Job Description

Job Purpose/Summary The Intake & Office Manager oversees the day-to-day management of HopeLink's client intake operations and front office, ensuring an organized, welcoming, and efficient environment for clients, staff, and visitors. This position manages a busy client application portal, oversees intake workflows, and coordinates communication across departments to ensure timely, compassionate service delivery. Duties and Responsibilities List the primary job duties and responsibilities; provide specific examples of the activities required for the position. Key Responsibilities Manage all aspects of client intake, including oversight of the online application portal, data entry accuracy, and documentation compliance. Serve as the primary point of contact for clients entering HopeLink's programs—providing excellent customer service in a fast-paced, high-stress environment. Effectively manage the front desk area, ensuring consistent coverage, professionalism, and adherence to organizational standards. Monitor intake data, generate weekly and monthly reports, and identify areas for process improvement. Coordinate communication between departments to ensure client applications move smoothly through eligibility and approval processes. Maintain office operations including supplies, scheduling, and facility coordination. Support special projects and assist with agency events as needed. Handle sensitive information with discretion, empathy, and professionalism.

Qualifications and Competencies Qualifications include:

Bilingual (Spanish/English) required. Minimum 3 years of experience in office management, customer service, or client intake (nonprofit or human services experience preferred). Strong organizational and multitasking skills; ability to manage competing priorities with calm and efficiency. Proficiency in Microsoft Office Suite and client management databases or portals. Excellent communication skills—both written and verbal—with a compassionate and professional demeanor. Ability to thrive in a high-volume, high-stress environment while maintaining empathy and composure.

• Demonstrated commitment to equity, inclusion, and serving vulnerable populations. Work Environment Hours for this position are Monday - Thursday from 7:30 am - 5:30 pm with a one-hour lunch break. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. This position requires performing a variety of duties, often switching from one task to another, and working with frequent interruptions and/or distractions. In addition, this role requires travel via personal vehicle to and from clients' homes for in-home services. Physical Demands Must be able to lift at least 30 pounds. Must be able to sit for extended periods, stand, reach, and bend. Regular travel for staff meetings and company events. Each item listed above is considered an essential function of the position.
