We're looking for an experienced Bookkeeper who will also be our Office Administrator. This role functions as the organizational backbone of the company, the person who makes sure nothing falls through the cracks while the leadership team is focused on growth and execution. This is not a task-taker position. The right person spots problems before they're reported and takes genuine ownership of their domain without needing to be managed. Day-to-day you'll support the Owner, COO, Head of Design, and Office Manager with primary operational focus on MSE and bookkeeping for four small entities. WHAT YOU'LL DO
Executive & Leadership Support Manage the owner's inbox and calendar — screen communications, flag priorities, draft responses, protect his time Coordinate signature, approvals, and action items flowing through the owner's office Book travel and handle personal scheduling that impacts the owner's ability to focus on the business Provide scheduling and admin support to MSE team Handle all sensitive information with complete discretion Financial Management Advanced QuickBooks proficiency Own the books for MSE, BPD, AIS, and RW:
A/R, A/P, invoicing, reconciliation, check runs, deposits, deliver accurate monthly financial reports and have yearend tax ready financials prepared for CPA firm. Track project billing milestones and pursue past-due collections Maintain W-9's, vendor setup and year-end 1099 filings Coordinate with the outsourced payroll provider Serve as the internal point of contact with the external CPA for year end Own monthly sales tax reporting and coordinate year-end prep across entities Identify opportunities to streamline workflows and reduce errors Human Resources Own HR processes: recruiting, managing employee benefits, PTO tracking, and personnel files Respond to DETR requests, unemployment claims, and employee documentation needs Business Administration Maintain all state licenses, firm registrations, trade organization memberships, and insurance renewals Track and manage incoming contracts — flag non-standard terms, maintain executed files Keep vendor and client databases current; manage office procurement Organize company events, travel, and office operations Company Websites Maintain company websites Software, IT & Systems Own software license management and seat allocation across all entities Serve as first-line IT coordination; manage new employee tech setup WHAT WE'RE LOOKING FOR
2+ years of full-cycle bookkeeping in QuickBooks Administrative experience — engineering, architecture, construction, or professional services background strongly preferred Entrepreneurial mindset — you see what needs to be done and you do it Highly proficient in Microsoft Office; familiarity with Ajera or similar project/time-tracking software is a plus Excellent written and verbal communication — professional, clear, and confident Discreet, trustworthy, and able to handle confidential business and personal matters Organized, detail-oriented, and unflappable when priorities shift WHY JOIN MCELHANEY GROUP
