This position ensures accurate billing, accounts receivable and payable management, payroll coordination, customer account maintenance, human resource support, and compliance with company policies. The Business Office Manager serves as a key member of the leadership team, supporting operational efficiency, financial performance, and exceptional customer service. Essential Duties and Responsibilities Financial Management Oversee accounts payable and accounts receivable processes. Manage customer invoicing and collections activities. Monitor aging reports and proactively address outstanding balances. Reconcile bank statements and company accounts. Prepare financial reports and assist with budgeting processes. Coordinate month-end and year-end closing activities. Maintain accurate financial records and documentation. Assist leadership with cash flow management and forecasting. Billing and Revenue Cycle Management Ensure timely and accurate billing for products and services. Review invoices for accuracy and resolve billing discrepancies. Monitor reimbursement trends and payment issues. Work with customers, vendors, and insurance providers regarding billing inquiries. Track key performance indicators related to revenue and collections. Human Resources Administration Assist with employee onboarding and orientation. Maintain employee personnel files and records. Coordinate payroll processing and payroll-related reporting. Track employee timecards, PTO requests, and attendance records. Assist management with recruiting, hiring, and employee relations activities. Ensure compliance with labor laws and company policies. Office Operations Manage daily office operations and administrative staff. Develop and maintain office procedures and workflows. Ensure proper maintenance of office equipment and supplies. Coordinate company communications and document management. Support operational departments with administrative needs. Compliance and Risk Management Maintain compliance with federal, state, and local regulations. Ensure proper record retention and document control. Assist with audits, inspections, and regulatory reviews. Maintain licenses, permits, insurance certificates, and vendor documentation. Support safety, privacy, and compliance initiatives. Customer and Vendor Relations Serve as a primary point of contact for administrative inquiries. Build and maintain strong relationships with customers and vendors. Resolve customer service issues promptly and professionally. Assist with contract administration and vendor management. Leadership and Team Development Supervise office personnel and administrative staff. Provide training, coaching, and performance feedback. Promote a positive and productive workplace culture. Support company goals and strategic initiatives. QualificationsEducation Associate's Degree in Business Administration, Accounting, Finance, Healthcare Administration, or related field preferred. Equivalent combination of education and experience may be considered. Experience Minimum of 3-5 years of office management, business administration, accounting, or healthcare office experience. Supervisory experience preferred. Experience with accounting software, payroll systems, and Microsoft Office Suite required. Experience in healthcare, medical gases, durable medical equipment, or related industries preferred. Knowledge, Skills, and Abilities Strong financial and accounting knowledge.
