This position plays a key role in maintaining an efficient, professional, and collaborative work environment while supporting day-to-day business operations. The ideal candidate is a strong communicator and problem solver who can effectively manage multiple priorities, coordinate across departments, and identify opportunities to improve processes and operational efficiency. Key Responsibilities I. Administrative Leadership Provide guidance and support to administrative team members, including reception, executive support staff, interns, and office services personnel. Assist with onboarding, training, and implementation of administrative procedures and best practices. Coordinate staffing schedules, coverage planning, and workflow distribution. Conduct regular team meetings and support employee development initiatives. Review and approve administrative staff time records and performance evaluations. II. Office Operations & Facilities Management Oversee daily office operations and ensure a professional, welcoming environment for employees, visitors, and vendors. Coordinate office supply purchasing, inventory management, and vendor relationships. Support company meetings, training programs, employee events, and special projects. Coordinate facility maintenance, repairs, and office improvement initiatives. Assist with office security administration, access management, and emergency preparedness procedures. III. Process Improvement & Project Coordination Identify opportunities to improve administrative workflows and operational efficiency. Develop, maintain, and update office procedures and documentation. Support implementation of new processes, systems, and organizational initiatives. Collaborate with department leaders to ensure administrative functions align with business needs. IV. Records Management & Compliance Support Oversee document retention, storage, archiving, and records management programs. Coordinate file transfers and document organization across multiple locations. Assist with compliance-related administrative requirements and reporting. Maintain accurate records and tracking systems for administrative operations. V. Vendor, Fleet & Technology Coordination Serve as a primary point of contact for office vendors and service providers. Coordinate office technology requests and facilitate communication between employees and IT resources. Assist with fleet administration, vehicle records, and related documentation. Review and track office-related invoices, contracts, and recurring service agreements. Qualifications 5+ years of office management, operations, administrative management, or related experience. Strong organizational and multitasking skills with exceptional attention to detail. Experience supervising administrative or support staff preferred. Excellent written and verbal communication skills. Proficiency with Microsoft Office Suite and business management software. Ability to manage competing priorities in a fast-paced environment while maintaining professionalism and confidentiality.
