Office Manager Switzer Buffalo, NY Job Details Full-time From $65,000 a year 1 day ago Benefits Health insurance Dental insurance 401(k) Flexible spending account Paid time off Employee assistance program Vision insurance 401(k) matching Life insurance Referral program Qualifications Vendor relationship building Administrative experience Payroll record maintenance Full Job Description Key Responsibilities HR Administration Manage employee records, contracts, and HR documentation in line with legal and company requirements Coordinate recruitment processes (job postings, screening, interviews, onboarding) Administer onboarding and offboarding processes Coordinate periodic state/federal required employee training Support payroll preparation (timesheets, leave records, benefits data) Manage employee leave, attendance, and absence tracking Ensure compliance with labor laws, company policies, and HR best practices Support performance management processes and training coordination Act as first point of contact for employee HR-related queries Compliance & Reporting Ensure compliance with employment legislation, data protection, and internal policies Prepare HR and administrative reports for management Maintain confidentiality and secure handling of sensitive information Office Management Oversee daily office operations and ensure a well-organized workplace Oversee daily IT administrative activities and communicate with outside IT service provider Manage office supplies, equipment, and vendor relationships Manage office budgets, invoices, and expense tracking Organize meetings, travel arrangements, and company events Ensure effective communication and coordination across departments Maintain office policies, procedures, and administrative systems Assist with accounting bookkeeping (AR, AP, Invoicing, etc.) as needed Manufacturing Administrative Support Assist with purchase orders and vendor documentation Support quality and compliance documentation Help maintain training and safety records Provide administrative support for operations and production teams Qualifications 3+ years of office management, administrative, HR, payroll, bookkeeping experience Manufacturing industry experience preferred but not required Key Competencies Technical & Professional Skills Strong knowledge of HR administration practices and employment legislation Experience with HR systems, payroll coordination, and MS Office tools Budget management and basic financial administration skills Strong organizational and record-keeping abilities Communication & Interpersonal Skills Excellent verbal and written communication skills Ability to handle sensitive issues with discretion and professionalism Strong interpersonal skills and ability to build trust with employees and management Organizational & Management Skills Strong multitasking and time management skills Attention to detail and accuracy Ability to prioritize and work independently Problem-solving and decision-making capabilities Personal Attributes High level of confidentiality and integrity Proactive, adaptable, and solution-oriented Reliable, professional, and well-organized Customer-service mindset with a positive attitude
