Job Description
Job Summary Job Summary We are seeking a highly organized and proactive Office Administrator to handle a variety of office support tasks related to purchasing, inventory management, human resources, client relations and more. If you are a good communicator seeking a career with advancement opportunities, please keep reading! We are located in Chappaqua, NY (Westchester County) with a team of over 100 employees in the field. We work at a fast pace and this job entails a variety of activities including that will enable you to learn about our industry and broaden your administrative skillset. This is a full-time, in-person position with a competitive salary, paid vacation, and health insurance. Core Responsibilities
- Office support: Answer phones, sort and organize mail, prepare bank deposits, maintain and organize files, handle miscellaneous administrative tasks. Oversee daily operations and manage the front desk.
- Customer service: nurture relationships with team in the office and the field, as well as clients, to help maintain a positive office culture and 100% client retention. Must be bilingual (Spanish/ English) to communicate with staff.
- Hiring support: Utilize Paycom's position management module to update job postings, track scheduling and labor, and assist with onboarding new hires
Ticketing:
Receive calls from clients, enter tickets into SmartTicket platform, follow up on open tickets, generate reports- Fleet management, equipment repair, security access: maintain inventory, order parts, oversee access of keys, badges and ID's, generate reports and maintain records
Purchasing:
order and maintain inventory, coordinate deliveries and meet at the loading dock. Experience- Experience in office management, administration, customer service
- Strong skills in calendar management and scheduling
- Excellent phone etiquette and interpersonal skills MUST be bilingual - Spanish/ English!
